In order to manage your equipment management in Qualio, we'll be creating a new template to house your equipment information and any relevant maintenance and calibration records. Here is an example of what an Equipment File could look like:
This information should be adjusted to include anything that is required by your organization.
Make sure you have an attachment section included so you can store any records that are generated from calibration and maintenance activities.
Creating your Equipment File
Follow steps to create a new document using your Equipment File template
Fill out necessary data in the Content session and attach any necessary documentation:
Based on the timeline of the next maintenance/calibration period, adjust the Review Period on the Properties tab of the document to align with the upcoming date:
Based on the example above, this piece of equipment will need to be calibrated or have preventative maintenance performed in two years (Due Date) so the Review Date for the document reflects that time period.
The Review Period of a document will have a countdown timer started from the time that the Equipment File is approved and will alert the Quality users and document owner 30 days prior to this due date. In the presented example, if the Equipment File was approved on January 2, 2021, the alert for the periodic review will begin on December 2, 2022 (one month prior to the January 1, 2023 due date.
Upcoming Periodic Reviews can be viewed via the Periodic Review Report by Quality users to see what's due within the next 7, 30, 90, and 180 days.
As another perk of Equipment Files, this will also allow users to pull a list of all Equipment to generate a Master Equipment List so you don't need to manage this manually.
