Password Requirements & Lockout Details

Minimum password requirements

  • One uppercase letter

  • One numeral

  • At least 8 characters

  • Unique from the most previously used password

Lockout Policy

If an incorrect password is used to login, the following lockout policy will be engaged.

  • After 3 unsuccessful login attempts the account will be locked for 30 seconds.

  • After attempt 5 the account will be locked for 60 seconds.

  • After attempt 7 the account will be locked for 120 seconds.

  • After attempt 9 the account will be locked for 240 seconds.

  • Each 2 subsequent unsuccessful attempts will lock the account for twice as long as the previous lock out.

  • The Audit Trail only captures the first 3 unsuccessful attempts.

  • Qualio cannot manually unlock the account early.

Idle Session Sign-out Policy

An inactive user will remain logged in to Qualio for 30 minutes before the session expires (automatically get signed out). The one exception is if the user is in the process of editing a document. In this situation the document will be auto-saved in 10 second intervals.

Password Expiration Policy

This is an optional setting configured at the company level in the Organization Settings. It will force users to update their passwords within the designated time interval.

  1. A Quality User can browse to the organization settings by clicking the gear icon in the top-right corner.

  2. Select Password expiry on the left-side menu.

  3. Click Activate password expiry then select the desired time interval.

    1. 30 days

    2. 90 days

    3. 180 days

    4. 1 year

Impact of Password Expiry when using multiple environments

If your user account has access to multiple environments, (i.e Production and Sandbox), and the Password expiry is only enabled for one environment, when the Password expiry interval comes due, you will need to change the password to login to any environment. The reason: you are using the same login credentials to access all environments.

Qualio Passwords and SSO

If your organization has SSO set up, you will still be required to maintain a Qualio password to complete activities within the system (reviewing, approving, completing training). Your Qualio password expiry will follow any rules set within the Organization Settings. Logging in via SSO will remain unchanged with any changes to your Qualio password.

Change Qualio password from Account Settings

The need to change your Qualio password may arise if:

  • If you feel that your Qualio password has been compromised

  • You have internal policies on periodic password changes

  • Or you've forgotten your Qualio password and use SSO to login

To change your Qualio password:

  1. Click on the gear icon in the upper right corner.

  2. Select Your account settings.

  3. Click the option in the left-side menu to Change password.

  4. Enter your current password.

  5. Enter your new password in the New Password field and again in the Confirm New Password field. See Password Requirements for details.

  6. Click the Save button.

Reset Password

For non-SSO users

If you have forgotten your password and cannot login to Qualio, you can request a Password Reset link.

  1. From the Qualio login screen, click the Forgot password link at the bottom.

  2. Enter your email address and click the Request password reset button. If the email address has been registered to a Qualio user account, an email will be sent to that email address. The email should appear in your inbox within a couple minutes or less.

  3. Click the password reset link in the email.

  4. Enter a new password. See Password Requirements for details.

  5. Then click the Change password button.

  6. You will then be able browse to the login screen and login using your email address and new password.

For SSO users

Because your login credentials are tied to your Google, O365/Azure, or OKTA account you will need to contact your IT group for assistance on how to change your password.
