Linking Events and Suppliers + Supplier Performance Analytics

Challenge: Events could only reference other Documents and Events and could not be directly linked to a Supplier record within the Suppliers feature. Additionally, the Analytics feature did not allow you to view how many events are associated with suppliers.

Solution: An additional field has been added for “Related Suppliers” at the event template level, which can be configured to be visible and/or required on a template-by-template basis. This field feeds into a new section in Analytics for Supplier Performance.

  • Event owners can now directly associate an event with one or more suppliers in their account and visualize those relationships in Qualio Analytics for use in audits and procurement decisions.

  • Event templates will now have a configurable field named “Suppliers.” If the field is marked as “visible,” the events under that template will include the supplier lookup as part of their Event Properties area.

  • Event owners can then link one or more suppliers with an issue of that type. Once linked, supplier tags are clickable, allowing users to navigate from the event to the supplier’s profile.

  • Quality users can go to Analytics → Suppliers → Performance to see a graph of all the events associated with individual suppliers in their portfolio. Referenced Supplier data will also be exportable via the Events module.

  • Availability: The Related Suppliers field is available to customers with Events included in their price plan and visible to users with events enabled. Analytics are available to all Quality users.

“Related to” Fields for Events

Challenge: The single Related To field on events didn’t have a distinction between documents and events which made it difficult to to identify any potential trends.

Solution: Related Documents and Events are now separated into distinct fields. Users can now explicitly link events to Related Events or Related Documents in two separate fields to simplify workflows and provide greater clarity on related items.

  • Historical references for both in-progress and closed events have been classified to fit the right Related field.

  • Availability: Available to customers with Events included in their price plan and visible only to users with express user permissions to create and manage Events.

Event Escalations and Analytics

Challenge: Events can often need to be escalated due to severity or developing trends. While the Related To field can be utilized, there isn’t a clear distinction between the potential relationships between events.

Solution: Escalations allow event owners to establish cause/effect relationships between events, weaving a clear story about the origin and path of an issue from initial awareness to investigations and further corrective actions.

The new Escalations functionality provides the ability to:

  • Save time. Users can now trigger an event from another event as an escalation. The new event will inherit descriptions, properties, and tags from the source event.

  • Report escalations. Users can establish the directionality of relationships between events for reporting purposes and see this information reflected in exports.

  • Track the evolution of quality issues with Analytics. We provide a graph depicting the “origin story” of major events.

  • Navigate escalated issues with ease. Clickable links in the event properties will allow users to easily go through the chain of events that led to a CAPA, SCAR, NCR, etc., to answer key questions:

    • When did we first become aware of this issue?

    • What actions have we taken as a result?

  • Availability: The escalation field is available to customers with Events included in their price plan and visible to users with events enabled. Analytics are available to all Quality users.

Basic Forms

Challenge: Extractable event data was limited to fixed fields at the metadata level. It took a lot of work to extract relevant data for trending and/or management review purposes. Event fields could be edited if built at the template level as a content step.

Solution: With Qualio’s new Event Forms functionality, users can create forms as event steps to substitute for content (i.e., document-based) steps. This allows:

  • Template/Input Reliability: Companies no longer have to worry about quality templates being altered (accidentally or on purpose) in Qualio during the event drafting process. Users can only fill out the areas designated by the form template using a valid input format.

  • Enhanced Usability: End users can fill out worksheets in an easy format of blank fields, radio buttons, date selectors, etc.

  • Data access: Quality managers can automatically extract the details within events in bulk through the form export.

  • Availability: Forms are available to customers with Events included in their price plan and visible only to users that have the user permission to create and manage Event Templates. Anyone with access to export events today (access to Quality Events list) can extract the details in the forms.

Change Control Search

Challenge: When searching for a specific Change Control record (CC-) related to a document, the ability to search in the Change Control Report is limited to Ctrl-F Chrome functionality; there aren’t built-in search functions similar to the Documents Library/Workspace.

Solution: Adding a search bar (for keywords), filters (by owner, status, and creation dates), and more export options allows you to locate the CC you’re looking for quickly. Additional columns for the Change Item (Document ID) and Owner have also been added to aid in searching.

  • The table itself can be sorted by ID or dates so you can quickly and easily find the data you are looking for.

  • When a Change Control is selected, it will display in a full-page experience, making it easier to view all the details.

  • The Change Control report can be exported via CSV, Excel, or PDF.

  • Availability: The Change Control Report is available to all Quality users.

  • Validation: This change has resulted in an update to the Qualio Automated Validation Pack. Please check the updated documentation and test evidence at this location.

Change Requests

Challenge: Often, necessary changes to processes can result in the need to update multiple documents. With Qualio’s document-by-document change control, it was unclear which documents were part of the exact overall change, and it was difficult to keep track of the progress of the change.

Solution: With the new Change Request feature, Qualio customers can efficiently view, assess, and manage the impact of document changes. This feature focuses on better facilitation and project management of related changes and includes the ability for Quality users to:

  • View and create an overarching Change Request with Description, Reason, and Impact notes separate from each document

  • Add multiple documents to the request and create new drafts all at once

  • Track the progress of individual document changes

  • Give visibility to document owners of the requested changes in the context of the individual documents

  • Document owners will receive a notification and can see the requested changes in the context of their own document updates. The Change Request will reflect the status of all the documents so that the request owner knows precisely where to follow up.

  • Availability: The Document Change Requests option is available to all Quality users. Normal and Quality users can view the contents of a Change Request for a document included in an open Change Request.

  • Validation: This change has resulted in an update to the Qualio Automated Validation Pack. Please check the updated documentation and test evidence at this location.

OneDrive Integration for Documents

Challenge: Many organizations use a combination of Qualio and Word, making it difficult to keep track of the locations of documents and records. This dual usage can also make different versions of the same document accessible simultaneously, resulting in compliance issues.

Solution: The document owner can now upload a document directly from the organization’s OneDrive. Once uploaded, the owner can fetch the most recent changes from the document linked to in OneDrive.

For this integration, ‘OneDrive’ and ‘Sharepoint’ can be used interchangeably. This does not apply to on-prem installations of Sharepoint; it applies only to Sharepoint through Office 365.

  • This one-way integration requires authorization from our customers’ IT teams.

  • This presents a new option in the upload step when creating a document. The document owner will have control over when Qualio fetches updates from OneDrive

  • Availability: Once the Integration is set up, all document owners will have access to upload documents from the organization’s OneDrive. The user must have access to the file in OneDrive to upload it in Qualio.

  • Validation: This change has resulted in an update to the Qualio Automated Validation Pack. Please check the updated documentation and test evidence at this location.

Convert an Uploaded Document to a Qualio Document

Challenge: Any document added to Qualio using the Upload Format could not be converted into an editable Qualio document.

Solution: Users can now use the More Actions menu option to change the format into an editable document in Qualio. With this feature addition, users can change document format in both directions (Upload to Qualio and vice versa) to suit the organization's needs.

  • When converted, the original file will be attached to the document. The user will then need to manually copy/paste content into template sections and use the Qualio editor to modify content.

  • The original document ID (ex: SOP-10) will stay the same.

  • Change History will also be maintained throughout the conversion.

  • Availability: Format changes are available to all document owners.

  • Validation: This change has resulted in an update to the Qualio Automated Validation Pack. Please check the updated documentation and test evidence at this location.

Bulk Import

Challenge: During and after onboarding, there is no functionality to allow uploading multiple documents in bulk. Quality and Normal users have to create each new document manually.

Solution: An import option will be added to upload up to 50 files of a single document type simultaneously. Files uploaded via bulk import will utilize the Upload Format, and ownership will be assigned to the user who imported them.

  • ‘Browse’ allows users to choose from files saved to their computer.

  • If the OneDrive integration is enabled, an option will be displayed, and you can bulk import directly from the drive.

  • Availability: Bulk import is available to Normal and Quality users. The OneDrive integration is enabled on the ‘Integrations’ page.

User Management Search

Challenge: Finding users in the Admin settings was difficult when organizations had a large number of users.

Solution: A search bar has been added to search by name or email address.

  • Availability: This search bar is available for all users with Admin access.
