Webinar Questions and Answers

The Q&A below lists the major topics that were outlined in the webinar, as well as additional topics that can be found under the Other Topics header.

AI

  • Will using Beta or AI content void the validation of the content created?

    • To give you a detailed answer, can you elaborate more on your question and send it to us at support@qualio.com, asking to be referred to the product team?

  • Can we define, for example, the number of AI-generated questions in training assessments?

    • That is something we will consider for future improvements. You can generate a set of three questions multiple times, so you can use the AI to generate more than three questions for the same document.

Beta

  • In our sandbox we have no BETA features available? Is this correct?

    • Yes this is correct as features for the August Launch Train are now in sandbox, for the November Launch Train features will go into beta in the next month or so.

Change Control

  • Currently, the Change Control tab appears on new documents. Will it be discontinued and only appear on versions 1.1 and above?

    • The change control tab always appears; however, the AI suggestion only appears from version 1.1 onwards, as the AI needs a previous version to compare to.

  • Is there any plan to update the Change Control Template with the edit functions now in documents and Events (Tick boxes, Drop-downs, etc.)

    • That will be updated as part of this release. You can see this change by going to the Change Control template in your sandbox.

Documents

  • Can we sequentially list the documents in the Workspace/Library?

    • You can sort by clicking the ID column in the Library/Workspace, which will sort the documents by ID.

Notifications

  • Is there an ability to update the notification settings in bulk?

    • Each user controls their own notification settings; there is no mass or bulk control for these settings.

Smartlinks

  • Can you now link to a template?

    • You cannot smartlink to a template. If you have a specific use case for doing that, please contact us at support@qualio.com and ask to be referred to the product team.

  • Regarding smart links referring to a document within an event, if I have a CAPA that references a document and I go back into that CAPA three years from now, will that smart link bring up the version of the document that was effective when the CAPA was opened, or will it bring up the effective version of the document to date?

    • It will link to the latest version of the document not the version of the document at the time. If you are looking to link it to the specific version that you can create a hyperlink to the URL of the document, each version has it's own unique URL.

  • Can you smartlink more than one document or event?

    • Yes, you can smartlink to multiple events or documents anywhere smartlinking is available.

User Permissions

  • When are basic user permissions changing to allow reviewing?

    • This change is available to newer customers. If you are interested in getting access to it, we recommend contacting your CSM or support.

  • You mentioned that Basic users can now be added as reviewers. Does that mean that they CANNOT be an approver? We go live in a couple of weeks, and this is not currently in basic user training, and I'll need to make sure that it is included for Basic Users.

    • Basic users cannot be approvers. The change we referred to is a permission that allows Basic users to be selected as reviewers. I'd recommend syncing with your Customer Onboarding Manager to clarify if you are going live soon.

Other Topics

  • We have Qualio Foundation. Therefore, there are new features and functionalities that we cannot access yet (in the production environment). Can we, as admins, make our Sandbox match Production? This would be beneficial for us when setting up processes.

    • We are in a 30-day validation period. During this time, the new features are only enabled in your sandbox. On the 12th of September, these will be released to your production environment, and both environments will match again. Please note that some features are specific to the plan you are on and the user role you have.

  • When will these changes become live again?
