Time-saving updates to search, permissions, and Design Controls

As usage of Qualio scales across teams, Qualio saves users time by ensuring access to the right features and information at the exact moment they need it. Our work in Launch Train 1 (March '23) opens the system to users with expanded search and permissions functionality.

With expanded Search capabilities in Docs, Training, and Events, Qualio enables users to find the exact information they need at the exact moment they need it. These capabilities will save customers time and improve the customer experience.

With brand-new Permissions capabilities with Events, users can now grant or remove feature permission without contacting Qualio support, giving them more control and transparency over who can use each part of the system. This feature will save customers time and delight them with increased oversight.

Finally, with a new interface in Design Controls, users can now navigate through their medical device documentation in a faster and more intuitive way. Additionally, a Change History Report is now included in approved documentation, saving users time by automating a manual process. These UI enhancements will delight customers, and the Change History Report will enable more oversight.

New Features & Enhancements

Search: Documents Workspace

  • Challenge: Searching within Qualio’s current workspace is arduous for users as they are not able to search for documents across statuses. Instead, they have to click through to each status to find the documents they are looking for, preventing users from identifying information with speed.

  • Solution: With updated search capabilities in the Documents Workspace, users can now search for documents across statuses, enabling them to find the exact document they need at the exact moment they need it. The updated search will save users time and remove barriers to access.

  • Details: Search across Document statuses with up to 100 results displayed at a time. Users no longer have to click through each status. The export will reflect what is displayed on the current tab.

  • Availability: Workspace Search changes are available to all customers.

  • Validation: This update will not affect how your system is configured, but it may impact your procedures and processes. Val-Pack documentation has been updated to reflect this enhancement.

Search: Training

  • Challenge: As organizations grow in complexity with more training material and more employees, finding items in the training areas becomes slow and cumbersome.

  • Solution: From the training overview you can now search for Documents, Groups and Employees. On Your Training screen, you can now search for documents. The updated search will save users time and remove barriers to access.

  • Details: On the “Training Overview” screen, you can now search for Documents, Groups, and Employees. On the “Your Training” screen, you can search for documents. Up to 100 results can be displayed in all areas, and the export will reflect what is displayed on the current tab.

  • Availability: Training Search is available to all customers.

  • Validation: This update will not affect how your system is configured, but it may impact your procedures and processes. Val-Pack documentation has been updated to reflect this enhancement.

Search: Events

  • Challenge: As the number of events increase it can be challenging for users to easily find the events quickly.

  • Solution: As an Events module user, you can now search for an event(s) by typing keywords related to its ID, title, owner or other event properties. The updated search will save users time and remove barriers to access.

  • Details: As an Events module user, I can now search for an event(s) by typing keywords related to its ID, title, owner or other event properties.

  • Availability: Events Search is available to customers whose plan includes Events.

  • Validation: This update will not affect how your system is configured, but it may impact your procedures and processes. Val-Pack documentation has been updated to reflect this enhancement.

User Permissions: Events

  • Challenge: Within Qualio, users could not adjust user permissions for Events workflows without contacting customer support. This created manual work for users and prevented them from having full control over and transparency with Events user permissions.

  • Solution: With brand-new user permissions capabilities within Events, users can now edit user permissions without contacting customer support, eliminating manual work, saving users time, and enabling users to control permissions at the exact moment they need it.

  • Details: Event and Suppliers Permissions management empowers Qualio administrators to edit Events and Suppliers module access for individual users within their company without the need to call Customer Success.

  • Availability: Events Permissions is available to customers whose plan includes Events.

  • Validation: This update will not affect how your system is configured, but it may impact your procedures and processes and you will want to evaluate the newly available user permission. Val-Pack documentation has been updated to reflect this enhancement.

Design Controls: UI & Review updates

  • Challenge: Confusing in-product navigation and limited Change Control functionality hindered usage of Design Controls, preventing users from fully adopting the feature.

  • Solution: With updated navigation, a brand-new Change History report, and new Change Control features, users gain key functionality that will make Design Controls an easier to use and more informative feature, ultimately saving users time as they compile product documentation.

  • Improvements will include:

    • Navigation from a product back to the list of products

    • Reviews / DCC is not retained if canceled

    • Title field added to Reviews / DCC

    • Change reason for each requirement, test case, and risk is shown on the Review / DCC

    • Review / DCC is created with all changed, deleted, and new items but the user can ‘clear all’ and select individually

    • New Change History report is generated on approval

  • Availability: Design Controls updates are available to customers whose plan includes Design Controls.

  • Validation: This update will not affect how your system is configured, but it may impact your procedures and processes. Val-Pack documentation has been updated to reflect this enhancement.

Validation Pack Updates

In keeping with the new Launch Train cadence of releases, we will now also release a complete set of validation documents for all features in Qualio. This will ensure the entire system is covered in a complete way, and will surface the testing we actually perform continuously to you, the customer, with every launch train.

For new customers, this means a complete validation set to review. For existing customers, we have created a Change History document (see image below) within our Design Control tool, and it is here you will be able to see the actual requirements that were updated with each release.

A couple items to note:

  1. The features that have been updated with new or changed functionality will be explained in the Launch Train Release Notes in the Help Center, published with each release.

  2. Non-updated features may have documentation only updates that may not be called out in the release notes. You will, however, see this noted in the Change History document.

  3. You will see multiple “DCC’s” in those Change History documents. Many of these are “documentation” only updates, meaning we are pulling from Jira the updates to the requirements for typos, grammar errors, or other “non functional” changes.

  4. You will always see, toward the final release, ALL tests linked to the Change History and flagged by the system as changes. This is due to the most recent date test execution being flagged by Jira as a “change”, which it then pushes to the Design Control tool. This does not mean that every test has changed. You can simplify your review of the updates by focusing on the User Needs and User Story updates. We also occasionally consolidate tests, and we will call that out in the Change History file, which will display a test as “Deleted” (see image below).
