New Events Editor and Event Template Updates

Challenge: Previously, when editing Events or Events templates, customers used an old version of Qualio’s editor, creating a disjointed experience within our product and preventing customers from leveraging key editing functionality like collaboration and checklists.

Solution: Now, with the new Events Editor, customers will enjoy an enhanced and uniform editing experience throughout the Qualio application, including commenting and suggesting, check boxes, new attachment capabilities, and step previews within Events templates.

  • Event Templates will now be managed from the Events Tab, not the Organization Settings, similar to how Document Templates are managed from the Documents Tab.

  • Event Template creation and editing have a new, guided user experience similar to the updated Document Template experience.

  • Availability: Event templates and the Event editor are available to customers with Events included in their price plan and visible only to users with the express user permissions to create and manage Event Templates, create an event, and work on existing events.

  • Validation: This change has resulted in an update to the Qualio Automated Validation Pack. Please check the updated documentation and test evidence at this location.

Enhanced Pasting from Office

Challenge: When pasting formatted content such as tables from Microsoft Office tools such as Excel and Word into Qualio, much of the table needed to be adjusted to match the original style.

Solution: A bug fix for enhanced pasting has been implemented to carry across any formatting, such as colors, text styles, and alignment.

  • Availability: Enhanced pasting is available to all customers.

  • Validation: This update will not affect how your system is configured. A Val-Pack for this enhancement is not available.

Events Field Configurations

Challenge: During Event creation, users are required to select product, root cause, and risk even though these fields may not be required within the event, making this a confusing user experience for our customers and blocking configurability to customers’ workflows.

Solution: With Events Field Configurations, customers can now make product, root cause, and risk fields required/optional or visible/not visible based on event type, providing users with more flexibility in how they capture events data.

  • Events will be checked for required fields at Event completion, not creation.

  • Availability: Available to customers with Events included in their price plan and visible only to users with express user permission to create and manage Event Templates.

  • Validation: This change has resulted in an update to the Qualio Automated Validation Pack. Please check the updated documentation and test evidence at this location.

Upload Format

Challenge: With our current file uploading process, customers must first convert their files to Qualio’s document format in order to successfully upload files to Qualio. This process was time-consuming and frustrating for customers and for Qualio’s own onboarding teams.

Solution: With support for Upload Format, customers can migrate existing content into Qualio with speed, allowing them to quickly upload, preview, and download their documents in their original formats while maintaining control and approval history directly in Qualio. This will also dramatically decrease time in migration and onboarding.

  • Download permissions can be granted to the document owner, Quality users, Normal users, and/or Basic users

  • Supported file types: .docx, .pdf, .doc, .pdf, .jpg, .bmp, .png

  • Collaborate with other users by adding comments to the uploaded file

  • Only one file can be uploaded per document

  • File size limit: 100mb or less.

  • Convert existing Qualio Documents with attachments to a different file format

  • Availability: Original File Formal upload is available to all customers.

  • Validation: This update will not affect how your system is configured. Val-Pack documentation has been updated to reflect this enhancement.

Documents Approval Management

Challenge: When sending documents for review or approval, users could not add approvers to a document without first reverting it to draft.

Solution: Users can now add, reassign, or remove approvers from documents without reverting them to draft. This improvement eliminates a current pain point for customers and makes the document approval process easier than ever.

  • Details: Manage approvers of documents in For Approval and For Review statuses.

  • Availability: Documents are available to all customers.

  • Validation: This change has resulted in an update to the Qualio Automated Validation Pack. Please check the updated documentation and test evidence at this location.

Integration Authentication

Challenge: The integration setup process can be complex and time-consuming, often requiring multiple interactions with our implementation teams.

Solution: With Integration Authorization, users can enter authentication details directly in the app for Asana, AzureDevOps, JIRA, Salesforce, Testrails, X-Ray and ZephyrSale integrations, improving the security of the integration setup up and giving users more control over their integrations with Qualio.

  • Availability: The Integrations page is visible for all Quality Users although some integrations do not support self-serve authentication (ComplianceWire) and additional configuration may be required to complete the integration.

  • Validation: This update will not affect how your system is configured and is optional for users integrating with third-party applications. A Val-Pack for this enhancement is not available.

Platform Configuration Document Generation

We are excited to introduce the Qualio Platform Configuration document generation. This produces an “On-Demand System Configuration Document," a powerful addition to our platform designed to put you in control and simplify your system management. ISPE's GAMP: A Risk-Based Approach to Compliant GxP Computerized Systems places a strong emphasis on regulatory compliance. The ability to generate real-time configuration documentation ensures that you can now easily maintain and demonstrate compliance with regulatory requirements, a central theme in GAMP.

Our new feature is designed to make your documentation process more efficient and effective, removing the need to manually document your Organization’s configuration of Qualio. This streamlines the validation process, giving you the ability to look at configurations and how they are impacted when there are changes to the validation packages provided. It also simplifies the auditing process by providing auditors with instant access to comprehensive configuration information saving time and reducing the burden on both auditors and the organization being audited.

Sunsetting Legacy Suppliers

On December 7, 2023, our legacy Suppliers feature will be sunsetted and no longer accessible. Until December 7th, if you still use the legacy tool, follow our guide to migrate your information into the current Suppliers tool.

Audit Trail Improvements

Our team has recently fixed a compliance gap by including a reviewer's comments in the Audit Trail. Comments will now be posted to the Audit Trail when a document is approved, retired, or approval is denied.


Webinar Q&A

General

  • When changing the format (quality manual doc), did you lose the chapter one text while uploading the attachment?

    • Yes, you will lose any text and any other attachments. This is why we only allow changing the format from version 1.1 up so that you always have the history.

  • When will we be able to add multiple products to an event?

    • It is not part of this release but we are adding requests for it to our roadmap for future consideration.

  • Most of us missed the beginning of the presentation due to technical difficulties. Will this webinar be recorded for viewing at a later time?

    • Hi there! Yes, we will send the recording to everyone after the event. We truly apologize for the inconvenience.

Upload Format

  • When commenting on an uploaded document, can you highlight the section for the comment(s) or is it one comment for the entire document?

    • The comments on uploaded documents are associated with the entire document and can't be associated with a specific area of text.

Events Editor, Templates, and Field Configuration

  • Can you now link an SOP / Event reference within an event / event template?

    • Yes- you can enter links in the new events editor. Note these will be regular hyperlinks, not smartlinks for the moment.

  • When you have an approved event report, can you update it?

    • For open events, you will see a prompt or call out at the top of the page, letting you know that the template configurations have changed and giving you the option to update it, if you wish to do so.

  • Can you predefine tasks in the event template?

    • That is not part of this release.

  • Will the updates to the event templates screen also change what the audit trail captures to be more similar to documentation? I noticed the audit trail does not capture all changes to event properties including due dates prior to event closure if changes are made.

    • All changes to the event template configurations will be captured in the audit trail. If you have noticed any audit trail gaps outside of the scope of this release, please contact support. We will document your concern for improvement.

  • Will this improve the Related to ability? I have tried to use smart links to documents within the system and it does not pull up in events as it does in documents.

    • The new editor in events should come with improved linking as in Documents. If you are looking for more specific improvements to "related to" functionality, please contact Reneida (reneida.leon@qualio.com) as we are currently in the process of evaluating event to event linking for improvements.

  • In the modified events section, is comment history also saved and viewable?

    • It is not part of this release but we are working out a plan to include comments in the future.

  • How to create a new version of the event after the event was closed?

    • Duplicate events are not available at the moment.

Documents Approval Management

  • Could you have more than one document owner? For example, could you have more than one person working on a draft?

    • We only support a single owner at the moment, but other users can collaborate as reviewers in order to suggest content or comment on a draft.

  • Regarding adding/removing approvers, does this only work when the document is in "For Approval" or does it also work after approval but before Effective?

    • It will only work while the document is for review or for approval.

  • Can you add a new approver to an approved document without bringing the document to draft? So this can act as a second level approval workflow after all first level of people have approved?

    • The manage approvers functionality will only work while the document is for review or for approval. It will not be available once the document is approved.

  • Can you manage approvers like this in events too?

    • Not yet, but we plan to improve the approval experience for events as well.

  • Can routing trees for approvers be pre-assigned to a document?

    • Routing trees are not available at this time.

  • Can the approvers be added at any time? For example, I add approver A and when A completes their approval, I assign to approver B. The issue I have today is having to revert it back to draft to change in properties then send back out again to continue our approval workflow.

    • No- you can only add or manage approvers anytime after leaving draft and before it is approved.
