Qualio's OneDrive integration allows you to seamlessly connect your files and folders in OneDrive with your Qualio eQMS. This integration streamlines file management, improves collaboration, and ensures that your data is always up-to-date.

Benefits of Integrating with OneDrive

  • Enhanced Efficiency: Reduce manual effort and save time by automatically updating Qualio records with changes made in OneDrive.

IMPORTANT: The following steps may require authentication and approval from your OneDrive administrator in order to successfully set up and configure the connection. Please speak with your administrator if you have any questions.

Creating a Service User Account (Recommended)

Before connecting, we recommend creating a dedicated service user account on your Microsoft domain for the integration. This helps:

  • Avoid Disruptions: Prevent integration issues if a personal account used for authorization becomes inactive (e.g., due to an employee leaving the company).

  • Control Access: Ensure that only the intended files and folders are accessible within Qualio by granting the service user appropriate permissions in OneDrive.

Connect to OneDrive

  1. Navigate to Integrations & Imports: Go to Settings > Integrations & Imports.

  2. Connect to OneDrive: Click the "Connect" button for OneDrive.

  3. Enter your OneDrive Domain: Provide your company's OneDrive domain.

Authenticate: You may be prompted to log in to your OneDrive account to authorize the connection.


Once Connected

When connected, files can be imported into Qualio from your OneDrive. To learn more about how to create documents using OneDrive, see Create a New Document.

As changes are made in OneDrive, the document owner can use the Fetch latest button to refresh what’s kept in Qualio. Changes to the file's location in OneDrive or its file name will not affect the document owner’s ability to fetch updates.

The ‘fetch latest’ functionality could be interrupted if the original file has been removed from OneDrive or if the integration is disrupted due to the access given to the account used for the integration (see the Troubleshooting section below).


Troubleshooting

Connection Disruptions

Your connection can be disrupted if a file has not been imported or updated in 90 days, or if the token is revoked by the user who set up the integration. If this happens, you can follow the same steps to reestablish the connection.

Note: If a different OneDrive account is used for the reconnection, users can only import files available to them in the second account.

Preview Not Available

If the document imported from OneDrive has password protection, a preview will not be available in Qualio. Users will be presented with options to view in OneDrive or to download the file from Qualio.
