Global search

  • Challenge: Navigating through Qualio to find specific Documents, records, or information could be time-consuming.

  • Solution: A new global search functionality allows quality managers to quickly and easily search across all of Qualio's resources from any location within the application.

What's New:

  • A search icon in the top right navigation bar provides access to the global search.

  • Search terms are matched against IDs, Codes, and Names of various resource types, including Documents, Change Controls, Suppliers, Events, Change Requests, Design Controls, and Resource Library items.

  • As new features are added, they will also be included in the search results.

Availability: This feature is available to all Quality users.

Resource Library

  • Challenge: Previously, it was difficult to bring external data into Qualio and connect it with your quality processes. This made it challenging to get a complete picture of your quality management system and to trace issues across different data sources.

  • Solution: The Resource Library provides a centralized location to import, manage, and connect external data with your Qualio workflows. This allows for greater context, improved traceability, and a more connected ecosystem.

What's New:

  • You can now import external data lists (like Customers, Equipment, etc.) into Qualio. These are called "Resources."

  • Qualio provides pre-populated resource types and allows you to create your own custom resource types.

  • You can import data via integration or manual Excel upload.

  • Resources can be archived to prevent them from appearing in Smartlinks or forms.

  • All resources are available for Smartlinking across Qualio.

  • Dynamic form fields allow you to see where different resources are associated with events.

  • When editing event form templates, you can include Resource Library resources as form field questions.

Availability: The Resource Library is available to all Quality users. This feature will be released to all production instances on December 12, 2024, based on plan eligibility. Please speak with your Customer Success Manager for more details.

Self-serve Integration Setup

  • Challenge: Companies often struggle with disconnected and manual processes for post-market surveillance, making it difficult to efficiently track and manage customer feedback and complaints.

  • Solution: Qualio now offers self-service integrations with popular ticketing systems like Salesforce, Jira, GitHub, Intercom, and HubSpot, enabling these systems to directly create Events in Qualio for streamlined post-market surveillance.

What's New:

  • Admins can set up integrations with various platforms directly from the Integrations & Imports page.

  • Events users can select from a list of Event Templates (e.g., Complaints) when setting up connections.

  • Quality users can define default owners for events created via integration.

  • Imported events appear on the main Events list page by default.

  • Quality users can reject Events created from an integration before they are opened.

  • Quality users can cancel open Events, which will be reflected differently in Analytics.

  • Users are notified when a new Event is created via import.

  • Customers can configure criteria in third-party systems to automatically populate complaint Events in Qualio.

  • Customers can sync Salesforce Accounts or Opportunities with the Customers section of the Resource Library.

Integration Workflow management

  • Challenge: Setting up integrations with Qualio previously required coordination with Qualio support and engineering teams, which could be time-consuming.

  • Solution: The new self-service integration functionality empowers Qualio admins to set up and manage integrations independently, giving them greater control and flexibility.

What's New:

  • An improved Integrations & Imports page provides access to all integration functionalities.

  • Admins can authenticate and configure custom connections between third-party tools and Qualio resources.

  • Filters can be applied to tailor incoming data.

  • Admins can map specific fields from third-party tools to Qualio.

  • Recurring data syncs can be monitored, with an activity log displaying any errors.

  • Self-service functionality also allows for importing data from Excel spreadsheets.

Availability: This feature is available to all Quality users.

Multi-editor collaboration

  • Challenge: Previously, document owners needed to change ownership or send for review to gain input from colleagues when drafting documents.

  • Solution: The new multi-editor collaboration feature allows document owners to invite collaborators, streamlining the Document creation and revision process.

What's New:

  • Document owners can add editors to their Documents.

  • Editors can edit, suggest changes, or comment on the Document.

  • Editors receive email invitations and notifications.

  • Document owners retain control over document properties and training assessments.

  • Only document owners can send for review or approval.

Availability: This feature is available to all Qualio customers.

Multi-level lists

  • Challenge: Pasting content from Microsoft Word often resulted in complex formatting issues, particularly with multi-level lists, disrupting the Document structure in Qualio.

  • Solution: Qualio Docs now offers improved list formatting capabilities, allowing for seamless pasting from Word and easier creation of multi-level lists directly within the editor.

What's New:

  • Users can paste content from Word while preserving the original multi-level list formatting.

  • Users can create and format multi-level lists from scratch within Qualio Docs.

  • Options are available to adjust formatting to match existing document styles.

Availability: This feature is available to all Qualio users.


Document history

  • Challenge: The lack of a comprehensive activity history for Documents in Qualio made it challenging to track changes and maintain a clear audit trail, especially when drafting documents like SOPs and work instructions.

  • Solution: A new activity history feature provides detailed tracking of Document changes, enhancing traceability and understanding of Document evolution over time.

What's New:

  • A new activity history records changes to Document content and status.

  • This history is displayed alongside the existing comment history.

  • The history tracks modifications, authors, and timestamps from version x.1 to major versions.

Availability: This feature is available to all Qualio users.

Notifications for Suppliers & Design Controls

  • Challenge: Previously, users lacked visibility into the different stages of the Supplier & Design Control approval process, making it difficult to track progress, anticipate potential delays and identify potential bottlenecks.

  • Solution: New notifications provide real-time updates on the end-to-end Supplier & Design Control approval flow, enhancing transparency and enabling proactive management of the approval process.

What's New:

  • Notifications are available for key approval stages: Approval Request, Approval Received, Approval Declined, and Approval Complete.

  • Users can customize notification preferences for supplier approvals and other approval types.

  • Notification preferences can be managed through the Preferences panel in the in-app notification feed.

Availability: This feature is available to all Qualio users involved in the Supplier & Design Control approval process.

Design Controls Enhancements

  • Challenge: Qualio's Design Controls functionality previously lacked flexibility in linking documents, searching for specific elements, categorizing elements, and managing approvals. Users also lacked visibility into the approval process.

  • Solution: A series of updates to Design Controls provides more comprehensive management, improved traceability, and greater efficiency throughout the product development lifecycle.

What's New:

  1. Self-Service Document Linkage: Users can now independently link Qualio documents to Design Controls and organize them with tags.

    Edit the 'Product' to assign Document Tags:

    Documents with the assigned Tags show in the Product's 'Documents' tab:

  2. Searchable Design Control Elements: Design Control elements (Requirements, Test Cases, Risks) are now searchable and can be Smartlinked or added to Event forms.

  3. Design Control Review Approval for Normal Users: Both Normal and Quality users can now approve design reviews.

  4. Design Control Notifications: Real-time notifications provide updates on the Design Control approval process.

Availability: These enhancements are available to all Qualio users involved in Design Control processes.
