Document Change Requests (DCR)

Challenge: Change Request processes are more than simple project management of bulk changes. Customers require advanced features that enable more collaborative, compliant, and automated workflows.

Solution: Based on your feedback, this next iteration of DCR includes more flexibility and collaboration while having more control over managing your document changes. We’ve improved the management of documents, added pre-approvals, and added the ability to bulk transition document statuses.

  • Permissions: Non-Quality users can access the DCR detail page if they own a document included in the DCR. Restricted tags are still adhered to.

  • In-Progress Change Requests: Any Quality user can add or remove a document from an in-progress DCR.

  • Search and Filtering: DCR can now be searched by title or ID. Customers can filter by included documents, owner, or status.

  • Changing Document Owners: While the DCR is in Draft, the DCR owner can update document owners of the individual documents. This will not affect any previously approved or effective versions. All ownership changes will be captured in the audit trail.

  • Suggest Related Documents: The “View linked documents” option is now available when the DCR is in Draft.

  • Pre-Approvals: The DCR now has an approval process before it can be moved to In Progress.

  • Bulk Approvals: The DCR owner can now decide whether or not to approve all the documents included in the DCR in bulk.

  • Availability: Document Change Requests are available to all users and are permission-based:

    • Only Quality users can own and edit DCRs.

    • Any Document owner can view a DCR if their document is included in it.

  • Validation: This change has resulted in an update to the Qualio Automated Validation Pack. Please check the updated documentation and test evidence at this location.


Events

Challenge: After Event Forms launched last quarter, feedback identified a need for improvement in grouping questions, alternatives to drop-down lists, and default content for rich text fields.

Solution: Forms can now have sections to identify related questions. More field options have been added, plus we’ve introduced default text for the rich text fields.

  • Sections and section descriptions can now be added to delineate different form areas

  • Checkboxes for multi-select and Radio buttons for single-select are now available in addition to Dropdowns

  • Rich text sections will now allow you to add default content to help guide your users as they complete the form.

  • Qualio Resource: New field options allow you to link to other resources within Qualio, such as:

    • Suppliers

    • Users

    • Documents

    • Events

    • Change Requests

  • Availability: Forms are available to customers with Events included in their price plan and visible only to users with permission to create and manage Event Templates.

  • Validation: This change has resulted in an update to the Qualio Automated Validation Pack. Please check the updated documentation and test evidence at this location.


Analytics - Event Forms

Challenge: With users able to define custom fields on their event forms, it becomes imperative that they are able to accurately report on event trends in relation to these fields. With last quarter’s release, data needed to be exported to be analyzed.

Solution: With the release of the new event form functionality, we added three new reports in Qualio Analytics that allow users to analyze event trends based on their own custom fields.

  • Events by custom field: View the total number of events based on your custom form fields. Use the filters to break down by event type and date

  • Trends: Identify trends with your custom form fields based on event creation dates and totals over time

  • Field totals: View totals or averages of your custom numeric form fields over time.

  • Availability: Event form analytics are available to customers with Events included in their price plan and visible only to Quality users.

  • Validation: This change has resulted in an update to the Qualio Automated Validation Pack. Please check the updated documentation and test evidence at this location.


User Management

Challenge: The current level of access being available to Qualio staff makes some customers uncomfortable and feel at risk. Customers wish to restrict the data shown to the Qualio support team when troubleshooting issues.

Solution: We're adding a control so that customers can choose whether they wish to restrict the content shown to the Qualio support team by giving admins in your organization the ability to easily disable read-only access for Qualio support staff. All access changes are captured in your audit trail.

  • The security principle of least privilege recommends that Qualio should modify the approach to ensure that access to customer data is restricted to only those who need it, and that customers are the ultimate owners of their data.

  • Availability: Admin users can set permissions to grant read-only access to Qualio support.

  • Validation: The testing was converted into an Help Center Article to serve as evidence for customers.


User Permissions

Challenge: Customers in the life sciences industry highly value data security and privacy, particularly amidst an evolving regulatory landscape. They need fine-grained control over who can access sensitive information within their Qualio environment.

Solution: To empower customers with greater control over their data, we've introduced new self-service features in the Admin Settings page:

  • API Access Management: Administrators can now grant or restrict API access on a per-user basis for Quality and Normal users. This allows organizations to precisely control who can interact with Qualio's API for integrations, automation, and other purposes.

  • Design Controls Access Management: Administrators can now grant or restrict access to the Design Controls module for Quality and Normal users, ensuring that only authorized personnel can view and edit design control documents.

These enhancements align with the security principle of least privilege, giving customers greater confidence in their data security and allowing them to tailor access permissions to their specific needs.

  • Availability: Admin users can set permissions for API and Design Controls access.

  • Validation: This change has resulted in an update to the Qualio Automated Validation Pack. Please check the updated documentation and test evidence here.


User Experience

Challenge: Quality processes can get complicated, and we want to simplify the experience for contributors to encourage understanding and efficiency.

Solution: This enhanced user experience will begin the start of a consistent, seamless user experience for you and your team across Qualio.

  • The following screens have been updated to use our component library, which will allow for consistency and improve ease of use:

    • Organization Settings

    • Product Changes

    • Your Account Settings

  • We’ll gradually be rolling out an updated Billing screen over the next couple of months. All functionality remains the same, with a new, sleeker look and feel.

  • Availability: The refreshed screens are available to all users with appropriate roles.
