Getting Started

Welcome to Qualio, and to the beginning of your simplified Quality management! This guide is intended to show you the ins and outs of Qualio as a normal user. 

Your Account

As a normal user, you're able to perform the following tasks:

Author documents
Review  documents
Approve documents
Complete training and analyze your progress
Read documents authored by others
Manage your account

Setting up your Account

Once your organisation is all set up, you will receive an e-mail inviting you to set up your Qualio account. It will have a link to account set up.

When you click on this link, you will be asked to provide your name, e-mail address and you'll be asked to set up a password. This sets up your account. 

Once your account has been set up, your e-mail address will be your username.


How to Login to Qualio

Head to and sign in, using your e-mail and the password you have set.

Getting Help

We're always on hand to answer your questions, provide support and give advice on setting up your Qualio to suit you. We also have a suite of insightful help documents, and we're always adding more resources to our help centre. You can get help by clicking the support button. This will give you access to our help and support centres

When you log into Qualio, you will see a navigation top bar. Let's work through each section!


Your dashboard is a quick way to see any outstanding actions you have yet to complete. Clicking on any of the actions will bring you to the workspace, where you can review and approve documents. 


This section is where you can work on and read documents. There's two sections- workspace and library.


Your workspace is just what the name suggests. This is the view where you'll be doing your authoring, reviewing and approving of documents. There's two layers of control to this view.  By default the view will be set to "Your documents" As you may imagine,  the  "Your actions" view  shows documents with outstanding actions that you have yet to compete. Please note that in the "All documents" view you will only be able to view approved and effective documents, as you're unable to view incomplete documents belonging to others.

Let's explain the different statuses documents can be in:

Draft: This is where you can view all your draft documents.

For review: You might be notified via email of a document you've been asked to review, or a colleague might mention it. This is where you can do just that! You can find out all about reviewing documents in our dedicated article, How to review a document

For approval: You're also notified by email if you have a document to approve. You can find out all about approving documents in our article How to approve a document

Approval declined: Approval might be declined for a number of reasons. You can see any of your documents that have been declined in this view.

Effective: Effective documents, i.e finalised documents are visible here. 

For Training: Any training assigned to you will appear here. You can learn about how to complete your training in our guide How to complete training on a document

For Periodic Review: A periodic review is a review carried out on a document at regular intervals, for example each month, or each year. You can learn all about periodic reviews in our dedicated guide Periodic Review

Retired: Your Quality user has the ability to retire documents, which you can view in this field. 


This view will show you all the documents that are available. Of course, you will probably have many more than what's on this test account, so let's show you how to find the document you're looking for. You can achieve this in a few ways:


Tags are a super way of organising your work. Other users will have assigned tags and you can filter by these tags

This section will give you an overview of how you're doing in training, and also access to the specific documents that you have training on. You will be notified by e-mail every time a new training exercise is assigned to you. Or you can check in here.

Quality Events

A “Quality Event” is an event that requires a pre-defined action or response and tracking in accordance with regulatory requirements. 

With Qualio, Normal users can create an event, work on associated steps/actions, assign ownership, assign associated steps/actions, sign-off on associated steps/actions, and co-approve associated steps.

This icon will direct you to our support- Here, you can contact us via chat, or visit our help centre, which is full of useful information. Here you can find help on getting started, how to guides and FAQs.

This is the settings drop down. Here, you can edit your personal account settings. Additionally, this is where you will see our product changes. Keep your eyes peeled for exciting new features.
